Connecting your calendar

The thing operators worry about most is double-booking — someone books through Xrise for a slot you've already sold. Here are four ways to prevent it, from zero setup to full integration.

Option 1

Manual confirmation

No setup

Customers send a request, you get an email and a text, you confirm or decline. Nothing is charged until you say yes.

Pick this if

You run a small operation and your calendar lives in your head or on paper.

The trade-off

Slower. Customers wait for your reply, and some won't. Expect to convert roughly half as well as instant booking.

Option 2

Native availability

15 minutes

You set your schedule inside Xrise — days you run, start times, capacity. Customers book instantly and pay on the spot.

Pick this if

You run a regular schedule and Xrise is your main online channel, or you're happy checking one extra calendar.

The trade-off

It's a second place to keep updated unless you also connect a calendar feed.

Option 3 · recommended

iCal sync

20 minutes, one time

You give us a calendar feed URL from your existing system. We check it every 15 minutes and block any window you've committed elsewhere. You subscribe to our feed so Xrise bookings land in your calendar.

Pick this if

You already use FareHarbor, Peek, Checkfront, Rezdy, Google Calendar, or anything that exports iCal. This is what most operators should pick.

The trade-off

Polling means up to a 15-minute lag. We hold seats during checkout and re-check before charging, which closes most of that gap but not all of it.

Option 4

Direct API

Engineering work

Real-time, two-way. Availability reads live from your system and bookings push straight in. No lag, no polling.

Pick this if

You do serious volume and your booking software has a public API.

The trade-off

Takes real development on both sides, and some providers require partner approval first.

Setting up iCal sync

Two directions, and you want both.

Inbound — your calendar blocks Xrise

Find the iCal export URL in your booking software and paste it into your Xrise partner settings. We poll it every 15 minutes. Anything busy in your calendar disappears from Xrise automatically.

Where to find it:

  • FareHarbor — Settings → Integrations → Calendar Feed
  • Peek Pro — Settings → Calendar → Subscribe
  • Checkfront — Manage → Integrations → iCal
  • Google Calendar — Settings → your calendar → Secret address in iCal format

Outbound — Xrise bookings appear in your calendar

We give you a private feed URL. Subscribe once in Google Calendar or Apple Calendar and every Xrise booking shows up alongside your own, with the guest's name, party size, contact details, and confirmation code.

https://xriseexperiences.com/api/ical/<your-private-token>

Treat that URL like a password — anyone holding it can see your bookings. You can rotate it any time, which instantly revokes access for anyone already subscribed.

API and webhooks

For operators with engineering resource. We push events to your endpoint as they happen.

Webhook events

  • booking.createdA customer booked and paid.
  • booking.cancelledCancelled or refunded — release the slot.
  • booking.updatedGuest count or timing changed.
  • availability.requestedWe're asking for a live capacity check.

Every request carries an X-Xrise-Signature header — an HMAC-SHA256 of the body using your endpoint secret. Verify it before trusting the payload. We retry failed deliveries with exponential backoff for 24 hours.

How we stop double-bookings

  1. 01

    Row-level locking

When two customers hit the last seat at the same instant, the database serialises them. One succeeds, the other is told to pick another time. Nobody oversells.

  2. 02

    Seats held during checkout

Seats are reserved the moment someone starts paying and released automatically if they abandon. No ghost inventory.

  3. 03

    Calendar blocks

Anything busy in your connected calendar removes the overlapping Xrise slot before a customer ever sees it.

  4. 04

    Re-check before charging

We verify the slot is still free at the moment of payment. If it isn't, the card is never charged.
